Practical information

Please find below the presentation guidelines for WIN2026, including practical information for oral presentations, poster presentations, poster pitch presentations and company case presentations.

Recording and copying: WIN2026 aims to provide an open and professional forum for scientific exchange. While open discussion and access to presentation content are the default, presenters may indicate that recordings and copying are not permitted by using “No Recording or Copying” on their posters or slides.

File submission

  • You will receive an upload link via email.
  • Upload your slides as PPT or PPTX, maximum 500MB, by 21 June 23:59 CEST.
  • If your file size exceeds the upload limit, bring your presentation to the scheduled presentation room and upload the file onsite before the beginning of the session.
  • File name format: ID#_PresenterName_ShortTitle. Example: ID20_AlbertEinstein_SpecialRelativity.
  • Platform presenters should prepare a 15-minute oral presentation, followed by five minutes for Q&A, moderated by the session chairs.
  • Each presentation will be recorded.
  • Your specific presentation time, ID and session room can be found on the conference programme. If any changes occur, affected speakers will be informed by email.

Slide preparation guidelines

  • WIN2026 does not provide PowerPoint templates; please use your own.
  • Use horizontal position, landscape, for all PowerPoint slides. Both 16:9, optimal, and 4:3 are compatible with the screen size.
  • A traditional slide deck should include a title slide, a slide stating the objective or main question addressed, and a slide describing the overall approach used.
  • Ensure text is readable from the back of the room.
  • Please use color-blind-safe colour schemes to visualise your data.
  • Reduce clutter on PowerPoint slides. Prepare your slides to communicate ideas, not details.
  • Use graphs to show trends, comparisons and relationships. Avoid overly detailed tables from published articles; choose one message or conclusion and present it as concisely as possible.

At the conference

  • Be in the session room at least 5-10 minutes before the session starts and introduce yourself to the session chair(s).
  • Stay on schedule: you have 15 minutes for your presentation and five minutes for discussion.

File submission

  • You will receive an upload link via email.
  • Upload your poster presentation as PPT or PDF, maximum 500MB, by 21 June 23:59 CEST.
  • File name format: ID#_PresenterName_ShortTitle. Example: ID20_AlbertEinstein_SpecialRelativity.
  • Bring your printed poster to the poster display area on Monday, 29 June, at 09:30. There are no printing facilities at the venue.
  • Your specific presentation ID and display area can be found on the conference programme. If any changes occur, affected speakers will be informed by email.

Poster preparation guidelines

  • WIN2026 does not provide templates for posters; please use your own.
  • Your poster must be portrait, not landscape, and A0: 84.1 cm wide by 118.9 cm high.
  • Consider including a QR code to give attendees quick access to websites and contacts related to your research.
  • The poster should:
    • Be printed on paper. Avoid overly thick material, as heavier posters may not remain securely attached to the boards.
    • Be readable from two meters, or six feet, away.
    • Be understandable on its own, without needing verbal explanation.
  • Please use color-blind-safe colour schemes to visualise your data.

At the conference

  • Posters are displayed from 09:30-17:30 CEST, Monday to Thursday. The poster ID number will be displayed on the board where you should hang your poster.
  • Push pins will be provided on the boards. Please do not use your own glue kit, pins, tape, velcro or Blu-Tack.
  • You are responsible for the setup and take-down of the poster.
  • Poster setup: 08:30-09:30 CEST on Monday, 29 June 2026.
  • Poster take-down: remove posters no later than Thursday, 2 July 2026, 17:30 CEST. Posters not removed by the end of the day will be taken down and destroyed.
  • Be at your poster as much as possible during the poster presentation sessions, coffee breaks, to discuss your work with attendees.
Guidelines Poster Pitch Presentation 4-minute pitch, maximum 3 slides
Presentation file submission deadline: 21 June, 23:59 CEST

Poster pitch presentations are scheduled in the platform session of the same theme. The pitch should briefly summarize the highlights of your poster in 4 minutes, using no more than 3 slides. Encourage the audience to visit your poster in the exhibition area for more details about your work.

  • If your file size exceeds the upload limit, bring your presentation to the scheduled presentation room and upload the file onsite before the beginning of the session.
  • File name format: ID#_PresenterName_ShortTitle. Example: ID20_AlbertEinstein_SpecialRelativity.
  • Each poster pitch presenter has 4 minutes, maximum 3 slides, to pitch their poster at the end of the platform session.
  • There is no time for Q&A directly after the spotlight talk. Session chairs will enforce the time limit.
  • Your specific presentation time, ID and session room can be found on the conference programme. If any changes occur, affected speakers will be informed by email.

Poster pitch guidelines

  • WIN2026 does not provide PowerPoint templates; please use your own.
  • Use horizontal position, landscape, for all PowerPoint slides. Both 16:9, optimal, and 4:3 are compatible with the screen size.
  • The pitch is intended to invite the audience to the poster in the exhibition area during the poster social.
  • Keep information on your slides concise: a title slide, a slide stating the question or hypothesis, and eventually a glimpse of your results.
  • We strongly encourage presenters to rehearse before the meeting to ensure that they finish within the allotted time and that the message is clear.

  • Stay on schedule: you will have four minutes for your spotlight presentation.
Guidelines Company Case Presentation 12-minute oral presentation + 3 minutes Q&A

The company case session provides a platform for sharing practical experience from real industrial water management cases. Presentations should focus on what was done, why, and what was learned, rather than on promoting products or services.

  • You will receive an upload link via email.
  • Upload your slides as PPT or PPTX, maximum 500MB, by 21 June 23:59 CEST.
  • If your file size exceeds the upload limit, bring your presentation to the scheduled presentation room and upload the file onsite before the beginning of the session.
  • File name format: ID#_PresenterName_ShortTitle. Example: ID20_AlbertEinstein_SpecialRelativity.
  • Presenters should prepare a 12-minute oral presentation, followed by a three-minute Q&A period, moderated by the session chairs.
  • Each presentation will be recorded.
  • Your specific presentation time, ID and session room can be found on the conference programme. If any changes occur, affected speakers will be informed by email.
